The
Supervisor, Enterprise Support Services (ESS), reporting to the
Regional ESS Leader, supervises and coaches administrative support staff
(individually and as a team) to ensure satisfactory performance and
compliance to firm policies and procedures. The incumbent is responsible
for ensuring resources are used efficiently and effectively, providing
and/or arranging training as required, and partnering with internal
clients to resolve and/or communicate issues. The incumbent is also
responsible for interviewing/selecting candidates, performance
management, progressive discipline, and has input into salary
administration. The incumbent is also involved in office facility repair
and maintenance issues, health and safety initiatives,
security/emergency issues, equipment requirements, and may participate
in other ESS projects and committees, as required.
Responsibilities
- Resource Management:
Supervises and monitors workload of administrative support staff
including reception, hospitality, records, printing and mail/courier
functional areas. Ensures allocation of effective work assignments and
back-ups. Regularly reviews assignments and proactively responds to
changing business, facilitates office requirements and employee
relations. Keeps abreast of, and where appropriate, communicates changes
in practice groups, organizational structure, policies and procedures.
Ensures adherence to firm policies, processes and standards. Provides
additional support as and when required.
- Facilities: Oversee
repair and maintenance of office space and act as a liaison with
building management. On a daily basis, allocate office/work to client
serving staff, and administrative support staff, as required. Maintain
and drive facility knowledge to facility team and office on
policies/procedures and standards, and evaluate office maintenance and
improvements.
- Staff Performance, Development & Administration:
Supervises and monitors performance of administrative support staff. On
an ongoing basis, solicits feedback from client servicing staff,
communicates feedback to staff and acts as a mentor and coach. Provides
input into performance reviews and conducts annual performance review
meetings. Assists/trains staff in the development of their annual goals,
and monitors and provides feedback on the status of goal achievement.
Approves time off, tracks attendance and overtime. Participates in the
recruitment process by preparing approval forms and postings, conducting
interviews and coordinating the hiring process.
- Morale:
Fosters a positive working environment and contributes towards high
morale for administrative support staff through effective change
management processes, including holding regular team meetings and
implementing ESS initiatives. Recognizes staff contributions and
facilitates social events.
- Office Security and Safety: Act
as the local lead for all office security matters, manage the
Occupational Health & Safety Committee, participate in local
emergency response teams and initiatives
- Project/Committee Work: As
required, participate on ESS Committees and on project teams (e.g., ESS
Procedures Handbook, Goals Workshops, etc.). Has input into the
preparation of the budget and ongoing monitoring of costs.
To qualify, candidates must have:
- College diploma
- 5 to 7 years in administrative support role
- Office move experience is an asset
