Job Summary
We
are looking for an energetic and self-motivated Administrative
Assistant to support Apple Canada’s Legal team. You must be organized
and able to work in a face paced environment while performing
administrative and clerical duties, interacting with law firms,
suppliers, resellers, the public, government agencies and Apple
executives. You must be resourceful and take the initiative to
prioritize and problem solve with limited guidance and supervision.
Also, you must be able to effectively deal with ambiguity and the
constantly changing needs of the department. The successful candidate
would be a high integrity, assertive and flexible self-starter who will
thrive in a dynamic and team-oriented environment.
Role is part time - 29 hours per week. Based in Apple’s Markham
headquarters but will relocate to downtown Toronto late 2014.
Key Qualifications
- The ideal candidate can demonstrate:
- A minimum of 3 to 5 years experience, with legal department/law firm experience or AA professional level status
- Strong time management and effective communication skills
- Ability to work independently as well as collaboratively within a team
- English proficiency, French is a definite asset
- Familiarity with Word, Excel, Keynote and SAP
- Ability to travel within Canada and US
- Willingness to learn new systems and innovative technologies, and to embrace change
Description
Key responsibilities include:
Coordinate meetings with both internal and external entities, including travel arrangements and expense reporting
Financial: budget monitoring and reporting, SAP, payment processing
General correspondence to assist counsel
Maintain and update various department database systems and files, including archive and retrieval
Maintenance of periodic filings with various governmental agencies
General responses to customer or reseller inquiries
Administer small claims files under supervision of counsel
Lead in establishing office policies and procedures in order to eliminate redundancy and inefficiencies
Special projects and General Administrative duties as needed
