Overview

Vega has an exciting opportunity for an Office Administrator for a 13-month maternity leave contract at Vega’s head office in Burnaby, BC. Reporting to the Executive Assistant, the Office Administrator focuses on delivering high level customer service for staff, consumers, and retailers. Key Responsibilities

  • Assist Vega staff with general administrative inquiries and requests by taking ownership and coordinating solutions with other departments
  • Manage and maintain Vega’s vendor relationships for office-related activities
  • Assist as directed on projects given by the Executive Assistant
  • Liaise with Property Management Company ensuring that the office maintenance is taken care of and any issues are addressed
  • Assist with monthly reports
  • Responsible for the administration of Vega’s travel, including; working with Travel Agents, Car Rental Companies, Hotels, Airport Parking, creation of Travel Policies and facilitating Travel Orientation
  • Reconcile credit cards and code credit card transactions
  • Analyze billing and maintain cell phone administration
  • Responsible for maintaining the office parking and security administration and tracking systems
  • Participate as a member of the company’s Social Committee
  • Coordinate with Vega’s Chef and outside vendors to arrange lunches for monthly staff meetings and as required for other Vega events
  • Responsible for placing monthly staff orders and other orders as necessary using NetSuite software
  • Responsible for scheduling online web and telephone conferencing for monthly staff meetings, prepare presentations, set-up for meetings ensuring rooms are back to normal afterwards
  • Draft standard and non-standard correspondence/documents using Microsoft Office Suite (i.e. reports, presentations, and other documents)
  • Act as a backup for all office related couriers/mail, customs documentation; working in conjunction with the Operations department when necessary
  • Act as a backup to the Junior Administrator when necessary
  • Maintain inventory all office supplies for internal staff while being mindful of reducing costs

Skills and Qualifications

  • Minimum of 3-4 years’ experience in an Office Administrator or Administrative Assistant role with progressive responsibilities
  • Post-secondary program in business administration or similar program is a strong asset
  • Must have a vehicle
  • Must have the ability to be flexible with schedule should it be required
  • Confidence and ability to work in a busy environment while picking up new tasks quickly
  • Must be able to work under minimal supervision with self-motivation to improve processes
  • Ability to analyze, prioritize and problem solve to find viable, timely solutions and confidence in making informed decisions
  • High degree of competency using MS Office products, e-mail, database systems
  • Strong organizational and time management skills
  • Detail oriented with impeccable data entry skills
  • Excellent written and oral communication skills
  • Positive demeanor, conscientious and enthusiastic
