Job Purpose:
This position is responsible for
providing administrative support to the general office. This position
will be primarily responsible for handling information requests,
preparing correspondence, and back up reception duties.
Primary Responsibilities : Responsibilities include, but are not limited to the following
- Provide back up support to receptionist in call management as required.
- Welcome visitors and/or customers,
answer questions (in person and by telephone), respond to inquiries and
refer, when necessary, to appropriate person for resolution.
- Assist in the maintenance of office supply inventory while managing to budget.
- Adhere to established processes and procedures to ensure compliance with the quality management system.
- Identify areas of improvement based on organization's strategic direction within areas of responsibility.
- Timely distribution of incoming faxes between floors.
- Timely preparation of outgoing mail and sorting and distribution of incoming mail.
- Duplicate and distribute materials as required.
- Ensure filing is kept up to date and material is pulled as necessary in support of sales teams.
- Assist with organization of literature, catalogues, and bulletins.
- Maintenance of the Quote Files including filing and organization as required.
- Participate as needed in special department projects.
- Ensure office equipment is maintained in good working order (schedule repairs as necessary).
- Ensure timely transfer of packing slips from warehouse as necessary.
- Other duties as assigned by management.
Required Experience:
- Computer literate and able to work well in a team-oriented and pressure-filled environment
- 3-5 years’ administrative and
customer/sales support experience, preferably in the process control
industry, and, ideally, related post-secondary education/training an
asset
